SECTION 01 – General Terms
Applicable refunds as per the cancellation policy will be paid within 10 working days from the date of cancellation in INR only.
No interest will be applicable on any refund.
Cancellation shall attract the applicable cancellation charges on the total tour price.
For any additional services, deviations, upgrades, or similar changes (over and above the standard group tours of Victoria Tour India) booked by the guest, additional cancellation charges will apply along with the standard cancellation charges.
Victoria Tour India shall not be responsible for any additional expenses incurred by the guest for arrangements made independently.
Guests should communicate any cancellation request via email to the official email address provided by Victoria Tour India.
SECTION 02 – Tour Cancelled by Guest
If a guest decides to cancel the tour for any reason, a written application or an email from the guest's registered email ID must be sent to Victoria Tour India.
The cancellation request must include the tour code/form number, departure date, names and number of guests, along with the original payment receipts.
Cancellation by email shall be considered valid only when sent to the official email address of Victoria Tour India.
Any booking made after cancellation shall be treated as a fresh booking.
Cancellation may occur for any personal reason including, but not limited to, illness, death, court orders, cancellation by a sharing partner, payment of single occupancy charges, or similar circumstances.
Air ticket cancellation charges and forfeiture of deposits as per the respective airline's rules shall be borne by the guest.
SECTION 03 – Tours Cancelled by Victoria Tour India
Victoria Tour India reserves the right to cancel or reschedule any tour without assigning any reason. In such cases, guests shall only be entitled to the amount paid after deducting applicable taxes and visa processing charges already paid by Victoria Tour India.
Tour cancellations initiated by Victoria Tour India will normally be communicated at least 15 calendar days before the scheduled departure date unless prevented by a force majeure event. Communication may be made via SMS, telephone, or email provided during registration.
SECTION 04 – Cancellation Due to Visa Rejection
A tour shall be deemed cancelled unless the guest notifies Victoria Tour India in writing within 24 hours requesting a second visa application if the visa is rejected or delayed.
Cancellation charges shall be calculated from the date the guest informs Victoria Tour India of the visa rejection.
Guests may apply for a visa a second time at their own risk and expense. If the visa is rejected again, the latest notification date shall be treated as the cancellation date.
Visa processing may sometimes take longer than expected. If a visa is not granted before departure, Victoria Tour India, acting only as a facilitator, shall not be responsible for any consequences or refunds.
If the visa of one or more guests on the same booking is rejected and the remaining guests also cancel, cancellation charges shall apply to the entire booking.
Depending on consulate procedures, passports and visas may be sent directly to the guest or to Victoria Tour India. Guests must verify all visa details immediately upon receipt.
Where consulates require confirmed air tickets or hotel vouchers for visa processing, actual airfare and visa charges shall be payable in addition to applicable cancellation charges.
SECTION 05 – Force Majeure Situations
During force majeure situations, Victoria Tour India reserves the right to cancel, partially cancel, postpone, or reschedule tours in the interest of guest safety.
No full or partial refund shall be applicable for cancellations resulting from force majeure events.
Victoria Tour India may request suppliers to assist in postponing the tour, allowing guests to join a future departure of the same tour. Any additional cost shall be borne by the guest.
Guests may choose another tour package; however, applicable cancellation charges shall apply.
SECTION 06 – Rescheduling of Tour
Victoria Tour India reserves the right to reschedule tours or modify itineraries due to circumstances beyond its control, including changes in airline schedules, suspension of supplier services, or major events affecting travel routes.
Guests shall bear any additional costs arising from flight delays, cancellations, missed flights, or missed connecting flights.
Any fines, penalties, or expenses resulting from failure to comply with airport, immigration, passport, visa, or government requirements shall be the sole responsibility of the guest.
SECTION 07 – Non-Payment of Tour Price
If the full tour price is not paid in accordance with the Terms & Conditions, Victoria Tour India reserves the right to cancel the booking and forfeit the registration amount, advance payment, or any part payment made.
Bookings will only be processed after the registration amount has been paid in full.
A single guest opting for shared accommodation shall be liable to pay single occupancy charges if the sharing guest cancels or alters the booking.
SECTION 08 – No Show
Failure to join the tour on the first day shall be treated as a No Show, resulting in deemed cancellation with 100% cancellation charges.
Air tickets are often issued under a single PNR. As per airline regulations, missing one flight may result in all remaining flights being treated as No Show, with no refund available.
All tour services shall stand cancelled unless the guest informs Victoria Tour India within 24 hours of departure of their intention to join the tour later at their own expense.
SECTION 09 – Discontinuation from Tour
If a guest voluntarily discontinues or terminates the tour for any personal reason, it shall be treated as a deemed cancellation and no refund shall be applicable.
Victoria Tour India may assist in arranging services in case of tour discontinuation due to medical reasons. However, all related expenses must be paid in advance by the guest or accompanying relatives.
SECTION 10 – Transfer of Tour / Future Tour
Transfer from one booked tour to another shall be treated as cancellation of the original booking, and a fresh booking shall be required.
Tour prices and discounts applicable to the cancelled booking shall not apply to the new booking. The prevailing prices and offers at the time of the fresh booking shall be applicable.
SECTION 11 – Refund Policy
Refunds, where applicable, for cancellations, modifications, amendments, or alterations shall be made directly to the guest through an account payee cheque or bank transfer in Indian Rupees at the prevailing exchange rate.
No refund shall be provided for any unused or missed services, including meals, for any reason whatsoever.
No refund shall be available where full deposits have already been paid to suppliers or authorities to confirm reservations.
No refund shall be payable if tour services are modified, varied, amended, cancelled, or not utilized.
No refund shall be payable if the tour is postponed or cancelled due to natural disasters, riots, political unrest, pandemics, government restrictions, or any other unforeseen events.
Refunds are not applicable for certain domestic or international flight sectors where airline tickets are non-refundable or date changes are not permitted.
